Looking for a Karbon alternative? Or just reconciliation?
Karbon is a practice-management suite, priced per user. Equility does one job, QuickBooks Online reconciliation, at $15 per QuickBooks company per month. If reconciliation is what you actually need, you do not have to replace the tool you run the firm on to get it.
This page compares what each one covers, shows both pricing models on the same page, and says plainly where Karbon is the right answer and Equility is not.
No credit card required. The trial covers one QuickBooks company. QuickBooks Online only.
The short version
These are not the same product. Karbon runs the firm: workflows, client portal, project tracking, email. Equility reconciles QuickBooks Online books. If you need practice management, Equility does not replace it and this page will not pretend it does.
The question is which job you are buying. If reconciliation is the bottleneck, you can add a tool that does exactly that and keep Karbon for everything else. That is the option most firms comparing these two are actually looking for.
What Karbon does well
Four things Karbon has that Equility does not, stated plainly. If any of them is why you are looking at Karbon, it is the better buy and this is a short page for you.
Practice management
Workflows, project tracking and client collaboration in one system, which is the job Karbon is actually built for.
Client communication
Email, task assignment and team coordination live next to the work, so an engagement does not live half in an inbox.
Workflow automation
Standardise how the firm runs an engagement and apply it across every client rather than rebuilding it each time.

Why firms look for an alternative
Two themes recur in Karbon's own reviews, and neither is about the quality of the software. One reviewer on G2 calls it "difficult and time-consuming to set up... complex, especially for basic workflows". Another, in an aggregation of reviews, puts the second one as "we're paying for features we don't use".
Both describe the same mismatch: a suite bought for one part of what it does. Karbon is reported at $59 to $89 per user per month, so a 3-person firm is roughly $177 to $267 a month before a single account has been reconciled.
If you use the workflows, the portal and the project tracking, that is a fair price for a lot of software. If reconciliation is the part you needed, it is a lot of software.
Full suite vs one job
Most of this table is Karbon's. That is the point: it does more, and if you need more, you need Karbon. There is no speed or accuracy row, because neither of us has a measured number worth putting in a table.
| What it does | Karbon Practice-management suite | Equility QuickBooks Online reconciliation |
|---|---|---|
| Practice management | Advantage Karbon. Yes. Workflows, projects, collaboration | No |
| Client portal | Advantage Karbon. Yes | No |
| Task and project tracking | Advantage Karbon. Yes | No |
| Email integration | Advantage Karbon. Yes | No |
| Bank reconciliation | Part of a broader suite | Advantage Equility. The whole product. Matching, exceptions and bulk GL reclassification |
| Bank data | Not detailed in the sources behind this page | Advantage Equility. Plaid live feeds across 12,000+ institutions, plus PDF statement parsing |
| What you replace to adopt it | Your practice-management tool | Advantage Equility. Nothing. It sits alongside QuickBooks Online and whatever you run the firm on |
Priced per user vs priced per company
The two bills grow on different axes. Karbon's moves when you hire. Equility's moves when you take on another set of books.
| Firm | Karbon Reported $59 â $89 per user | Equility $15 per QuickBooks company |
|---|---|---|
| 3 staff, 10 QuickBooks companies | $177 â $267 / mo | $150 / mo |
| 3 staff, 25 QuickBooks companies | $177 â $267 / mo | $375 / mo |
| 6 staff, 25 QuickBooks companies | $354 â $534 / mo | $375 / mo |
Read that table as two different purchases, not a winner and a loser. Karbon's number buys practice management for the whole firm. Equility's buys reconciliation for a set of books. A firm that needs both will pay both, and a firm that only needs the second should not be paying per seat for the first.
Karbon figures are the per-user range its own reviewers and public pricing page describe, gathered October 24, 2026, not a quote given to us. Confirm current terms with Karbon before deciding. Equility's $15 per QuickBooks company per month is published on our pricing page.
Stay on Karbon if
- You need practice management. Workflows, client portals, project tracking and team coordination are the job, and Equility does none of them.
- The setup pays off across every engagement, so the time it takes to configure once is worth it to you.
- Reconciliation is a small part of what you bought. If the suite earns its keep elsewhere, the reconciliation piece comes along with it.
- You want one vendor and one invoice for how the firm runs, not a tool per job.
Look at Equility if
- Reconciliation is the bottleneck, and you are paying for a suite to get at it.
- You already have a practice-management tool you are not planning to replace.
- Your books live in QuickBooks Online and you want live Plaid feeds rather than statement uploads.
- You want the price without a demo. It is $15 per QuickBooks company per month, published.
- You want to try it before signing. 14 days free, no card, and the trial covers one QuickBooks company.
Add this, do not replace that
If you are happy with Karbon as practice management and unhappy with how the close runs, the answer is not a migration. Equility reads the QuickBooks Online ledger, so nothing has to come out of Karbon for it to work.
Karbon runs the engagement
Task assignments, the client portal, project tracking and the firm's workflow stay exactly where they are.
Equility reconciles the books
Bank and credit card activity matched against the QuickBooks Online ledger, with the exceptions queued for someone to look at.
The close gets marked done in Karbon
Reconciliation finishes in Equility, the workflow step closes in Karbon. No rip and replace, and nothing migrates.
Karbon alternatives: common questions
What is Karbon?
Karbon is a practice-management platform for accounting firms: workflows, project tracking, client collaboration and email in one system, priced per user. It is not a reconciliation tool with practice management bolted on; practice management is the product. Firms comparing it to Equility are usually deciding whether they need a suite or one job done.
Is Equility a Karbon replacement?
No, and it would be misleading to say otherwise. Equility does QuickBooks Online reconciliation and nothing else. It has no workflows, no client portal, no project tracking and no email. If you are running the firm on Karbon, Equility is something you add for the close, not something you swap Karbon out for.
Why do firms look for a Karbon alternative?
The recurring themes in Karbon's own reviews are setup effort and paying for scope you do not use. One reviewer on G2 describes it as "difficult and time-consuming to set up... complex, especially for basic workflows". Another, in an aggregation of reviews, puts it as "we're paying for features we don't use". Neither says Karbon is bad practice management. They say it is more than some firms needed.
How does the pricing compare?
Karbon is reported at $59 to $89 per user per month, so a 3-person firm is roughly $177 to $267 a month before anyone reconciles an account. Equility is $15 per QuickBooks company per month, so a firm with 11 companies pays $165 regardless of headcount. The two scale on different axes: Karbon's bill grows when you hire, Equility's grows when you take on a client book. It is not an apples-to-apples comparison, because the two products do not do the same job.
See Equility pricingCan I use Equility alongside Karbon?
Yes, and that is the usual shape. Karbon keeps the workflow, the client portal and the team coordination. Equility connects to QuickBooks Online and handles the reconciliation. Nothing has to move out of Karbon for that to work, because Equility reads the ledger rather than replacing anything that feeds it.
Does Equility support Xero?
Not today. Equility integrates with QuickBooks Online, and connects to bank data through Plaid plus Shopify and Amazon for ecommerce activity. If your client books live in Xero, Equility is not a fit yet.
What does the free trial include?
14 days, no credit card required, covering one QuickBooks company. Connect a client you already know, reconcile a full period, and judge it on your own books rather than on a demo file.
Your Next Close Is Already Counting Down
Every hour your team spends on manual reconciliations is an hour they're not doing higher-value work. Equility handles the matching, the checks, and the errors â so your close takes hours, not days.
